Client Portal Access & Onboarding

How do I receive a portal invitation?+

You’ll get an email from noreply@icmultiservices.com inviting you to our secure portal. Check your inbox (and spam folder) for a message with a subject like “Confirm Your Email for IC Multi Services Client Portal.” For example, a typical invite begins: “Hello [Name], Thank you for signing up with IC Multi Services. To complete your registration and access your secure client portal, please confirm your email address.”[1]. Once you click the confirmation link, you’ll be able to log in and begin the onboarding steps. (If you happen to receive an old Intuit Link email, please note that IC Multi now uses its own branded portal at icmultiservices.com – you can ignore any Intuit Link instructions and instead use the IC Multi portal invitation.)

I never received an invitation email. What should I do?+

First, check your spam or junk folder and ensure your correct email address is on file. If you still don’t see an invite, email our support team (e.g. accounting@icmultiservices.com) to resend it. Also keep in mind that the portal invite is only needed if IC Multi Services will be preparing your return. If you have chosen to work with another U.S. accountant, you do not need to accept the portal invite[2]. In any case, contact us to confirm whether you should be using the portal and we’ll help get you set up.

How do I confirm my account and complete signup?+

In the invitation email, click the “Confirm Your Email” button or link. This will verify your address and activate your portal account. For example, one confirmation email explains: “To complete your registration and access your secure client portal, please confirm your email address”[1]. After confirmation, you’ll be prompted to set a password and can then log in.

How do I log in and set up my profile?+

Use your confirmed email and chosen password to log in at icmultiservices.com (or a direct portal link provided). Upon first login, you should complete your profile by filling in your personal details (name, address, tax status, etc.) and any required questionnaire fields. You may also be asked to review and sign an engagement letter. You can always return later to update your information. (If you had trouble logging in using the invitation link, please reply to our team for help – sometimes a link can expire or technical error occurs.)

What can I do in the portal dashboard?+

Your dashboard is your central hub. It shows any outstanding tasks or checklists (e.g. “Complete Tax Questionnaire,” “Upload Documents,” or “Sign Engagement Letter”), and provides secure sections for communication and file exchange. Through the portal, you will be able to sign your engagement letter, complete your tax questionnaire, upload your tax documents securely, and send/receive messages with our team[3][4]. You will also see a personalized to-do list or checklist of required items. For example, after confirming their account, one client saw options to “Complete your tax questionnaire,” “Upload and view your documents,” “Communicate securely with our team,” and “Access your personalized dashboard”[4]. All portal features (questionnaires, uploads, messaging, checklists) are designed to guide you through the onboarding and tax preparation process step by step.

Secure Document Exchange

How do I upload documents securely?+

You can upload all tax documents directly in the portal. The portal uses encrypted connections (SSL/TLS) so your data is protected in transit. Simply navigate to the document upload or “Share Files” section, and select files from your computer to upload. You can also drag-and-drop multiple files. Once uploaded, your documents are immediately available to both you and our team.

What file types are supported?+

We accept common document formats. Typically, this includes PDF, JPEG/PNG image files (for scanned documents or photos), Microsoft Word or Excel files, and ZIP archives. If you have a very large file or unusual format, let us know and we can arrange an alternative method.

When can I access or unlock my documents?+

Any files you upload are visible to you and the IC Multi team right away. Final deliverables (like your completed tax return) will be uploaded to the portal by us when ready. Note that if there are any pending payments or forms to sign, the portal may keep certain files locked until those steps are done. For example, your tax return PDF will usually appear in the portal once your engagement letter is signed and any final fees are paid.

How does electronic signature work?+

Many documents (like engagement letters or state filings) can be signed electronically. We will notify you in the portal when a document requires your signature. You will simply open the document in the portal and click “Sign” or follow the prompts. The signature is captured digitally and a copy is saved in your portal record. (Some IRS forms still require physical signatures; in those cases we will tell you in advance if a wet signature is needed.) As noted in onboarding emails, our portal workflow explicitly lists “Sign your engagement letter” as a step[3]. Once you sign a document electronically, the portal automatically notifies us so we can proceed with the next steps.

Data Privacy & Consent

How is my data protected?+

The portal is designed with strong security. Data is encrypted during transmission and at rest. You will log in with a unique password (and any multi-factor authentication we enable) to access your information. Importantly, IC Multi Services will never ask for your portal password by email or phone. As our confirmation email reminds you: “For your security, do not share this email or your confirmation link with anyone. IC Multi Services will never request your credentials by email.”[6]. Always keep your login details private. If you suspect any unauthorized activity in your account, contact us immediately.

What is IRS Section 7216 and why do I need to sign a consent?+

Section 7216 of the Internal Revenue Code requires that tax preparers obtain written permission before using or disclosing your tax information for anything besides preparing your return. In plain terms, we need your permission to use your data for things like sharing with a software provider or sending newsletters. The portal process includes a clear consent step. According to IRS rules, “tax preparers [are required] to obtain written consent from their clients before using or disclosing their tax return information for any purpose other than preparing their tax return.”[7]. When you sign our engagement letter or the consent form in the portal, you are granting this permission.

Can I revoke my consent?+

Yes. By law you have the right to withdraw your consent at any time. If you decide you no longer want us to use your data for any purpose beyond normal tax prep, just contact us (via the portal or by email/phone). We will stop any additional uses or disclosures that you revoke consent for. Our forms inform you of this right explicitly. As one IRS guidance notes, consent forms “must also inform the clients of their right to revoke their consent at any time”[8].

How will my data be used?+

We will only use your information as agreed – mainly to prepare your taxes, respond to IRS inquiries, and provide the services you request. We will not sell or share your data for marketing. Any data used by third-party service providers (for example, for electronic signatures or accounting software) is strictly limited and is covered under our consent agreement. We comply with IRS Publication 4557 guidelines for safeguarding taxpayer data.

Communication & Support

How can I ask questions or send messages?+

The portal includes a secure messaging feature. Whenever you have a question or need to send additional info, use the Messages or Inbox area in the portal. Your messages go directly to the IC Multi team and are encrypted end-to-end. You can attach files or refer to specific items in your account. In general, this is the preferred way to communicate because it keeps everything organized in one place.

What if I can’t use the portal or prefer email/phone?+

If needed, you can also email your IC Multi representative (for example, accounting@icmultiservices.com or another address provided) or call us during business hours. However, please note that the portal messaging is the most secure and reliable channel, and it lets us promptly track and respond to your requests.

How quickly will I get a response?+

We aim to respond to portal messages within 1–2 business days. During busy seasons (like tax deadlines), it may take a bit longer, but generally you should hear from us quickly. If you have an urgent issue, you may also use the portal to alert our team and we will prioritize as needed.

Can I use the portal from outside the U.S.?+

Yes. The portal is web-based and accessible from anywhere. We serve English-speaking clients both in the U.S. and abroad, so you can securely log in from your home country or while traveling. Time differences may affect response times slightly, but our workflow supports international clients fully.

Services Offered

Individual & Business Tax Preparation

We prepare U.S. federal and state tax returns for individuals (Form 1040) and businesses (corporate, partnership, etc.). This includes basic returns as well as more complex situations like self-employment. We handle all standard tax forms and filings.

Self-Employed & Model/Entertainment Income

If you are self-employed (a freelancer, independent contractor, gig worker, etc.) or a model/performer, we’ll prepare the appropriate returns (Schedule C, Schedule SE, etc.). We are experienced with unique income sources in the creative industries. For example, we can assist models and other foreign entertainers who work in the U.S.: preparing their nonresident returns (Form 1040NR), applying tax treaties, and managing any U.S. tax withholding issues.

ITIN Applications & Renewals

For clients who need an Individual Taxpayer Identification Number (ITIN) – such as nonresident dependents or spouses – we prepare and file ITIN applications (Form W-7) and renewals. We guide you through the documentation required by the IRS for ITIN processing.

Financial Reporting & Bookkeeping

For business clients, we can prepare financial statements and reports. Whether you use QuickBooks or need manual bookkeeping, we’ll organize your financial data, reconcile accounts, and produce reports that can be used for taxes or management decisions.

International Tax & Withholding Consulting

We specialize in international tax services. This includes preparing U.S. tax forms for payments to foreign persons (e.g. Form 1042-S, 1099-NEC) and advising on U.S. withholding requirements. For instance, if you are a model or agent handling payments to nonresidents, we will manage the IRS withholding rules and file the appropriate forms[5]. We also handle expatriate tax matters and cross-border compliance for clients living abroad.
