Terms of Service and Privacy Policy
These terms govern your use of the IC Multi Services client portal and related accounting, tax preparation, and consulting services. Please read carefully to understand your rights and obligations.
1. Scope & Use
The portal and related services (“we”, “us”) are provided by IC Multi Services (“Company”) for clients (“you”) to access financial, tax, and consulting services.
Account Access: Access requires account creation. You must keep your login credentials secure and notify us immediately of any unauthorized use.
Intended Use: The portal is to be used solely for managing your accounts, exchanging documents, and communicating with our team.
Accuracy: You must provide accurate, up-to-date information and comply with all applicable laws. We reserve the right to suspend access for misuse or fraudulent activity.
2. Service Terms & Fees
Scope of Services: Our services are limited to the specific engagement selected (e.g., tax preparation, bookkeeping). Unless explicitly stated in a separate written agreement, our services do not include audit representation, tax planning, or response to government inquiries (e.g., IRS notices). These are separate services subject to additional fees.
Billing & Payment: Fees are due upon [e.g., presentation of the invoice / prior to filing].
No Refunds
Because our work involves professional time and expertise, all fees are non-refundable once the service has commenced, regardless of the tax outcome or refund amount.
Right to Withhold Work: To the extent permitted by law, we reserve the right to suspend services or withhold final deliverables (such as tax returns) if fees remain unpaid.
3. Client Obligations & Deadlines
Truthful Data: You are responsible for the accuracy and completeness of all data provided (income, deductions, identity details). We rely on your representations and do not audit your data unless specifically engaged to do so.
Deadlines & Penalties: You agree to submit requested documents by our internal deadlines. We are not responsible for any interest, penalties, or lost refunds resulting from your failure to provide information on time.
Account Responsibility: You retain full responsibility for all entries made and actions taken under your account.
4. Electronic Communications (E-SIGN Consent)
Consent: By using this portal, you consent to transact business electronically. You agree to receive all tax documents, engagement letters, invoices, and notices via this portal or email.
Legal Validity: You agree that your electronic signature (checking a box or typing your name) has the same legal validity and enforceability as a handwritten signature.
5. Company Responsibilities
Professional Standard: We agree to provide services professionally and securely.
Confidentiality: We will safeguard confidential data per our Privacy Policy and applicable law (including GLBA and IRS regulations).
Updates: We may update services or terms but will notify you of material changes.
6. Disclaimer & Limitation of Liability
No Guarantees: We do not guarantee specific outcomes of financial or consulting advice (e.g., specific refund amounts or investment returns).
Limitation of Liability: To the fullest extent permitted by law, our total liability to you for any claim arising out of these services is limited to the fees paid by you for the specific service giving rise to the claim. We are not liable for indirect, incidental, or consequential damages (e.g., lost profits, business interruption).
Gross Negligence: This limitation does not apply to damages caused by our gross negligence or intentional misconduct.
7. Intellectual Property & Data Ownership
Company IP: The portal design, software, and our proprietary methodologies remain the property of IC Multi Services.
Client Data: You retain ownership of your original financial data and uploaded documents. Upon termination, you may request a copy of your data within [e.g., 30 days] before account closure.
8. Termination
Right to Terminate: We reserve the right to terminate our relationship and your access to the portal at any time for cause, including non-payment, abusive behavior, or suspected fraud.
Withdrawal: If we withdraw from an engagement due to your failure to cooperate, you are still liable for payment for work completed up to that point.
9. Governing Law & Dispute Resolution
Governing Law: These Terms are governed by the laws of [Insert State, e.g., Florida].
Arbitration: Any dispute arising under these terms shall be resolved by binding arbitration in [Insert County/City] in accordance with the rules of the American Arbitration Association (AAA), rather than in court.

Privacy Policy (Data Collection, Sharing, Security)

- Financial: Income, account balances, tax returns, credit history, payment history.
- Health: Health insurance data (e.g., 1095-A) only as needed for tax preparation.

2. Use of Data
We use your data to:
- Deliver services (preparing returns, accounting, billing).
- Comply with legal obligations (IRS compliance).
- Internal analytics to improve services (with your consent where required).
- Marketing: We do not use tax return data for marketing unless you provide explicit, separate consent.
3. Sharing Data
We share data only as necessary and compliant with law:
- Service Providers: Third parties (cloud hosts, payroll processors) under strict contract.
- Legal Authorities: If required by subpoena or IRS inquiry.
- No Sale: We do not sell your personal information.
- GLBA Rights: You may opt out of affiliate sharing as allowed by law.
4. Legal Rights (GDPR / CCPA / GLBA)
- EU/UK Residents (GDPR): You have the right to access, correct, delete, or restrict processing of your data.
- California Residents (CCPA/CPRA): You have the right to know what data we collect, request deletion, and opt out of sensitive data sharing.
- US Residents (GLBA): You may direct us not to share Non-Public Personal Information (NPI) for marketing.
- Exercising Rights: Contact us via the portal to exercise these rights. We do not discriminate against valid requests.
5. International Transfers
We may transfer data globally using lawful safeguards (e.g., EU Standard Contractual Clauses). We ensure equivalent protection regardless of location.
6. Data Retention
We retain data only as long as required by law (e.g., typically 7 years for tax records). Afterwards, data is securely deleted or de-identified.
7. Security Measures
- Encryption: Data is encrypted in transit (TLS) and at rest (AES).
- Access Control: Limited to authorized personnel only.
- Compliance: Measures meet GLBA Safeguards Rule and GDPR standards.
IRS §7216 CONSENTS (Tax Return Data)
Mandatory Federal Disclosure
IC Multi Services follows IRS Code §7216 for any use or disclosure of tax return information beyond preparing your returns. We will obtain your explicit consent via two separate forms presented as checkboxes during signup.
These consents are standalone and cover only tax return data (as defined by IRS rules). Each must be agreed to separately by you (we cannot pre-check or sign on your behalf). Both consents are voluntary; you may refuse or revoke them at any time (revocation instructions will be provided).
Use Consent
“I authorize IC Multi Services to use my tax return information (all IRS forms and documents I provide) for purposes beyond preparing my return. Specifically, I agree that IC Multi Services may analyze or use my tax data for [e.g. financial planning, market research, product recommendations] and for improving services. This consent is voluntary and can be revoked at any time by contacting IC Multi Services.”
- Federal law notice: Federal law requires this consent form be provided to you. Unless authorized by law, we cannot use your tax return information for any purpose other than preparing your tax return without your consent.
- If you agree, your information may be used for the stated purposes, but IRS rules may not protect it from further use once disclosed.
- You are not required to sign this consent. If not specified, consent remains valid for one year.
Disclosure Consent
“I authorize IC Multi Services to disclose my tax return information (all forms and schedules) to third parties as described. This includes sharing my data with [fill in specific parties, e.g. my bank, financial advisors, payroll companies] for [specified purpose, e.g. loan processing, consulting]. This disclosure is voluntary and can be revoked at any time.”
- Federal law notice: Federal law requires this consent form be provided to you. Unless authorized by law, we cannot disclose your tax return information to third parties for purposes other than preparing your return without your consent.
- If you agree, IRS rules may no longer protect your information from further use or distribution.
- You are not required to sign this consent form. If not specified, consent remains valid for one year from signature.
In both consent forms, we will clearly specify the purpose of processing, which data is involved, who will receive it, that consent is voluntary, and how it can be revoked.
